ePoster Session Chair Guidelines

Thank you for chairing an ICS ePoster session. These sessions are an important part of the Annual Meeting, providing a more informal and interactive setting to showcase new research. Your role is key in creating a welcoming environment, encouraging discussion, and ensuring each presenter has the opportunity to share their work.

About ePoster Sessions

  • All ePoster sessions take place during coffee and lunch breaks at ePoster Stations in the Exhibition.
  • Sessions run in parallel, typically with smaller audiences, offering a more informal and discussion-led format.
  • During lunchtime sessions, two chairs are allocated per station to allow you to take a short break if needed.
  • Abstracts are grouped by topic where possible, although some sessions may include a mix of subjects.

Preparation

Ahead of the meeting:

  • View your session in the programme and read all abstracts in advance.
  • Prepare at least one question per presentation, in case the audience is quiet.
  • Be aware there may be late changes to speakers. Please check the programme page ahead of your session.

On the day

  • You will receive a running order sheet with presentation timings and speaker details from the ePoster help desk.
  • Arrive at your ePoster Station 10 minutes early to familiarise yourself with the setup.

Start of your Session

Please announce:

  • Session title and ePoster station number.
  • Names and affiliations of all chairs.

During your Session

  • Introduce speakers by name and affiliation.
  • Keep presentations to time to ensure all speakers have equal opportunity.
  • If a presenter does not show up, move to the next presentation and return later if possible.
  • Help maintain a relaxed but professional atmosphere that encourages interaction.

Q&A

  • Facilitate questions from the audience.
  • If there are no questions, lead the discussion with your prepared question.
  • Encourage short, focused discussion to keep the session flowing.

Thank the presenters and audience for their participation.
