Branding opportunities in the venue and official meeting hotels

The Rio Convention Center offers many branding options enabling more exposure to your company and products. In addition, we are able to provide our attendees, staying in the annual meeting official hotels, promotional material to their rooms.

Meeting Bags

Every delegate will receive a branded bag on registering, containing all vital Meeting information. This bag is designed to be used during the full four days of the Meeting, and long after the event is over.
• The bag will be produced by the annual meeting and will bear the logo of the supporter along with the logo of the annual meeting
• Support will be acknowledged in the Industry Support and Exhibition section of the programme guide, on the event website, mobile application and with signage during the event.

Mobile Application

The Meeting App engages attendees with personalised planning tools and real-time event updates. The App transforms smartphones, tablets, and laptops into tools for active meeting participation and makes it easy for participants to access meeting information to connect with speakers and colleagues. The App includes the scientific programme, abstracts, speaker information, participant lists, the rating/voting system for sessions and speakers, and a personalised scheduler. The App can be downloaded from the Apple App Store and Google Play.

Meeting App sponsorship support includes:
• Supporter acknowledgement in a roll up located in the annual meeting venue.
• Priority listing in the list of meeting exhibitors in all official publications.
• Support will be acknowledged in the Industry Support and Exhibition section of the programme guide, on the event website and application, and with signage during the event.

Abstracts on USB Thumb drive

The thumb drive will contain all of the scientific abstracts. Increase the footfall at the booth as each participant will receive an exchange voucher that can be exchanged for a thumb drive at the Supporter's exhibition booth.
• Support will be acknowledged in the Industry Support and Exhibition section of the program guide, on the event website and application, and with signage during the event.
• The supporter will be able to choose to either provide a branded voucher inviting all attendees to come to his booth to receive the USB
OR a voucher will be printed as part of the registration kit indicating that in order to receive the USB, the participants should come to booth number # of the supporting company.

Notepads and Pens (provided in-kind)

An opportunity to provide the participants with branded notepads and pens. Corporate branding of a given sponsor will appear on each pen and delegate pad which are placed in all 2500+/- delegate bags for use during the Meeting and afterwards. Pens will bear the ICS logo and the Supporter’s company logo and will be distributed in the participants’ Meeting bags (design has to be approved by the organising committee).
• Support will be acknowledged in the Industry Support and Exhibition section of the programme guide, on the event website, mobile application and with signage during the event.

Delegate Lanyards

Every delegate has a name-badge and lanyard that must be worn throughout the four days of the Meeting to gain access to workshops and all sessions in the scientific Programme. The supporter will provide funding for the lanyards. The Supporters company logo will appear on the badge cords along with the ICS logo and will be distributed to all Meeting participants.
• Support will be acknowledged in the Industry Support and Exhibition section of the programme guide, on the event website, mobile application and with signage during the event.

Product Theatre

Meet with attendees and key decision makers to share your new research outcomes, discuss your clinical protocols and conduct product demonstrations of your new products and services. Product Theatre sessions will be held in a designated area in the exhibit hall, which is set up in theatre style for 50 attendees. No other sessions of the scientific programme will run in parallel but may run concurrent with other corporate sponsors. Product theatres provide a high value, live educational opportunity for hosts to reach engaged healthcare professionals. These sessions deliver a platform to gather and discuss issues on patient education, specific products and therapeutic areas.

Located in the Exhibit hall, Product Theatre provides an opportunity to:
• Highlight and demonstrate new and existing products
• Provide up-to-date research findings
• Give product details in-depth
• Demonstrate products
• Distribute branded materials
Only 2020 Supporters/Exhibitors are eligible to support a Product Theatre.

Product Theatre opportunities are:

  1. Combined Lunch & Coffee break session, including 100 SQFT pipes and drapes booth, 2 exhibition badges and a mailshot
  2. Coffee break session OR lunch break session (up to 30 minutes) with or without promotional package of a mailshot+ Bag Insert + listing in all official publications
  3. Pitch presentation- 10 minutes pitch during designated session taking place during one of the coffee breaks, minimum 2 companies, price include a joint mailshot promoting all the companies taking part in this presentation.

For all the packages , a follow up mailshot including the presentation sent to all registered participants is available for an additional cost.

Hospitality Suites/Meeting Rooms up to 40 attendees

An opportunity to hire a room at the Meeting venue that will be used as a Hospitality Suite. The space will be available for the supporter to host and entertain its guests throughout the Meeting. Supporters will have the option to order catering at an additional cost. Hospitality provided will be in compliance with all relevant industry codes and compliance guidelines. Cost depends on room size. Benefits include:
• Opportunity to brand the hospitality suite
• Acknowledgement on directional signage outside suite
For companies with requirements which exceed 40 attendees, please contact the industry liaison and sales for a mini session price offer.

Speaker’s ready room

Facilities will be available at the Venue for speakers and abstract presenters to check their presentations.
• The Supporter’s name/or company logo will appear on all signs for this room
• Opportunity to display Supporter’s logo on screensavers at each workstation
• Support will be acknowledged in the Industry Support and Exhibition section of the Programme, on the event website, mobile application and with signage during the event.

Networking Reception (sole sponsorship)

Supporter will have the opportunity to promote itself through a networking reception on the first evening to which all registered attendees are invited. Hospitality and any activities provided will be in compliance with all relevant industry codes.
• Supporter's logo on sign at the entrance to the Networking Reception
• Opportunity to provide items bearing company logo for use at the event
• Support will be acknowledged in the Industry Support and Exhibition section of the Programme, on the event website, mobile application and with signage during the event

Coffee breaks

Coffee will be served during breaks in the exhibition area. Hospitality provided will be in compliance with all relevant industry codes.
• Opportunity to have a one break/ one day/ 2 days display of company’s logo at the catering point located within the exhibit area
• Opportunity to provide items bearing company logo for use during the supported break
• Support will be acknowledged in the Industry Support and Exhibition section of the programme, on the event website, mobile application and with signage during the event

Charging Kiosk - 2 devices / 5 devices

Branded Charging Kiosk for multiple devices, including smart phones and tablets. It's a great way to leave a lasting impression on the Meeting delegates.
• Opportunity to brand the Charging Kiosk with your company name and logo
• Charging kiosks will be placed in locations scattered in the exhibition area and next to the registration area.
• Support will be recognised in the Industry Support and Exhibition section of the programme, on the event website, mobile application and with signage during the event.

Festival Chairs

The branded Seating Cubes are stylish and informal. This multipurpose cardboard stool can be customised to match whatever theme you have chosen for the event.
• Opportunity to use the branded seats in your Product Theatre session
• Opportunity to customise the seating cubes
• 50 branded seats will be produced
• Location of seating cubes onsite to be coordinated with Secretariat
• Support will be recognised in the Industry Support and Exhibition section of the programme, on the event website, mobile application and with signage during the event.

Entry Prize Draw Entry

A great way to expose your company to new leads! Delegates are given a prize draw card in their delegate bag, and must visit participating booths and collect a stamp from each to be entered for a free prize draw. Participation as an exhibitor guarantees significant footfall to your stand. All participating exhibitors will be allocated a unique stamp to mark the entry cards of delegates attending their stand. Delegates return their card to the ICS stand and the prize draw will be made at the end of Meeting. The numbers of exhibitors participating in this scheme will be limited, and allocated on a first-come-first-served basis.

In ICS 2019 we had more than 200 participants taking part in this prize draw, many of them indicated that thanks to the prize draw game, they visited companies they never heard of before!

Participants lists

Companies attending the ICS 50th Annual Meeting will be able to purchase the participants list, including participants who agreed to share their name and country or their information and contact details. The list can be provided once- before or after the annual meeting.

ePoster Area

ePosters are a unique combination of scientific posters and interactive content. An ePoster is an electronic version of the traditional paper poster and is shown at dedicated digital stations at the event. ePosters create unique networking and engagement opportunities, generate participants' interest, and are good exposure for authors. The highly trafficked ePoster terminals, located in prime locations allow attendees to access the electronic presentations easily and conveniently. E-poster support includes:
• Signage with company logo on each individual e-poster station
• Support will be acknowledged in the Industry Support and Exhibition section of the program guide, on the event website and application, and with signage during the event.

"Friends" of the Meeting

Grants of any amount are appreciated and important to the success of the ICS Annual Meeting. Support will be acknowledged in a designated section of the program as: ˝Supported by˝, on the Conference website, and with signage during the event.

Failure to comply with the rules and regulations will not expose the Organiser to any suits, demands by the Exhibitor/Supporter or any other third party.
